Odoo 19 Lock Date: It Does Not Block Posting

Posting into a locked period in Odoo 19 gives no error. The entry moves to the first open date. Here is how to check what your lock really does before month-end.

This post covers one item from my list of 11 Odoo 19 problems from real projects. It is a small setting, but it changes how you close a month, and it is easy to assume it works the other way.

What we expected

When an accounting period is closed, you lock it. The point of a lock is that nobody can add or change entries in that period after the numbers are reported. So we expected the simple thing: if someone tries to post an entry dated inside a locked period, Odoo stops them with an error.

That is how many people understand lock dates, from older systems, from other software, or from the word "lock" itself.

What Odoo 19 actually does

In Odoo 19, posting into a locked period does not raise an error. The entry is quietly moved to the first open date and posted there.

From the user's side, nothing looks wrong. They enter a vendor bill or a journal entry dated last month, click post, and it posts. No warning stops them. Unless someone opens the entry and compares the dates, they will not notice that the accounting date is not the date they typed.

Only the hard lock refuses the entry. And the hard lock cannot be undone. Once it is set, that period is closed for good.

So there are two behaviours to keep apart:

  • The ordinary (soft) lock protects the locked period's figures by moving new entries out of it. It does not stop people posting.
  • The hard lock refuses entries in the locked period, and it is permanent.

Why this matters

The soft lock does keep the closed period's numbers as they were. That part works. The problem is what people believe it does.

If the finance team thinks the lock blocks posting, they read "it posted" as "it was allowed into last month". In fact the entry sits in the current open period. A cost that belongs to last month shows up in this month's profit and loss. A document dated in a closed month is booked on a different date. Nobody chose this. It happened because the system did something the team did not expect, and did it without an error.

The other risk runs the opposite way. Someone hears that the soft lock "doesn't really lock" and sets the hard lock to be safe. Then a correction is needed in that period, and there is no way back.

Neither of these is a bug. Both come from not knowing which lock does what.

How to check it on your system

Do not test this on your live database. Use a copy.

  1. Make a copy of the database, or use your staging system if it is a recent copy of production.
  2. Set the lock date to the end of a past month.
  3. Create a vendor bill or a journal entry dated inside that locked month.
  4. Post it.
  5. Open the posted entry and look at its accounting date. Compare it with the date you entered.

If the dates differ, you have seen the soft lock behaviour for yourself. Show the same steps to whoever closes the books. Seeing it once is clearer than any explanation.

Do not try the hard lock on the live database to "see what happens". Test it only on the copy, because on live it cannot be reversed.

What we do now

After meeting this on a real project, we changed three things in how we set up accounting in Odoo 19:

  • We test lock behaviour on a copy of the database before go-live, using the steps above, so there are no surprises at the first month-end close.
  • We explain to the finance team what the soft lock really does. It moves new entries to the first open date. It does not refuse them. This becomes part of the month-end handover, not a footnote.
  • We never set the hard lock without a sign-off. Because it cannot be undone, the decision belongs to the person responsible for the books, in writing, after they understand what it means.

This is part of the wider way I plan Odoo implementation in Oman: every control is tested to see what it really does, not what its name suggests.

What to do if you are already live

If your company already runs Odoo 19 and uses lock dates, three quick steps:

  • Ask your team what they think happens when someone posts into a locked month. If the answer is "it gets blocked", run the test above on a copy and show them.
  • Look at entries posted soon after each month-end close and check whether any were moved to a later date than the document date. Those may belong to the earlier period in your management reports.
  • Check whether a hard lock is already set, who set it, and whether that was agreed.
