Running an import business in Oman means juggling multiple challenges: managing landed costs, staying VAT-compliant with OTA, handling multi-currency transactions with suppliers in USD/EUR/INR, and tracking customs duties on every shipment.
Most import businesses rely on outdated systems like Tally or manual Excel spreadsheets—processes that slow down procurement, inflate costs, and create compliance risks.
Odoo 19 changes that. It is built for importers.
This checklist covers everything you need to implement Odoo successfully in your Oman import or trading company—from pre-implementation planning to go-live.
SECTION 1: Pre-Implementation Checklist (Week 1-2)
1.1 Define Your Current State
- Document current ERP system (Tally, QuickBooks, Excel?)
- List all suppliers (local + international)
- Map supplier currencies (USD, EUR, INR, GBP, CNY, etc.)
- Identify current inventory levels (units, cost, landed cost)
- Calculate current order-to-cash cycle time
- Review current VAT compliance process
1.2 Define Your Future State
- Target Odoo go-live date (typically 4-8 weeks for small-medium importers)
- List modules needed:
- Purchase (supplier orders, RFQ, PO)
- Inventory (warehouse, stock levels, landed costs)
- Accounting (supplier invoices, payments, reconciliation)
- Sales (customer orders, retail/wholesale pricing)
- Barcode (warehouse receiving/picking)
- Landed Costs (an Inventory setting that adds freight, duty and clearance to stock value)
- Assign internal project manager
1.3 Data Preparation
- Export current supplier list (format: Excel)
- Export current inventory (units, purchase costs)
- Export current account balances (as of migration date)
- Identify data quality issues (missing info, duplicates)
- Clean data in Excel before import
SECTION 2: Odoo Configuration Checklist (Week 2-3)
2.1 Company Setup
- Configure company name (match official license)
- Add Muscat/Oman address
- Add company tax ID (VAT registration number)
- Set default currency: OMR (Omani Rial)
- Set the fiscal year to match your audited financial year
- Install the Oman fiscal localization and check the VAT taxes (5% standard, 0% zero-rated exports)
2.2 Multi-Currency Setup (CRITICAL FOR IMPORTERS)
- Enable multi-currency
- Add currencies: USD, EUR, INR, GBP, CNY (+ others you use)
- Turn on automatic currency rates in Accounting settings (or enter the rates your bank applies)
- Configure supplier invoice currency
- Configure customer invoice currency
2.3 Landed Costs Configuration (CRITICAL FOR IMPORTERS)
- Understand landed costs concept (total landed cost = purchase price + freight + duty + taxes)
- Add landed cost template:
- Landed cost items: Freight, Insurance, Customs Duty, Other
- Assign to Cost/Expense accounts
- Link to purchase invoice
- Configure landed cost split:
- By quantity (equal per unit)
- By weight (proportional)
- By purchase amount (proportional)
- Use AVCO or FIFO costing with automated inventory valuation on the product categories. Landed costs only update stock value (and later COGS) with these settings.
2.4 Warehouse & Stock Setup
- Create warehouse(s):
- Main warehouse (Muscat?)
- Optional: Secondary warehouses (Sohar, Salalah)
- Create stock locations:
- Receiving (for customs holding)
- Quarantine (for inspection)
- Main stock
- Damage/Returns
- Set reorder levels for fast-moving items
2.5 Purchase Module Setup
- Create supplier list (import from Excel)
- Set supplier currency (USD, EUR, INR)
- Set payment terms for each supplier (Net 30, Net 60, 2/10 Net 30, etc.)
- Enable RFQ (Request for Quote) process
- Create landed-cost service products (Freight, Customs Duty, Clearance) so vendor bills can be posted as landed costs
2.6 Accounting Setup
- Chart of Accounts (Oman standard):
- Purchase accounts (by supplier country/category)
- Freight accounts (to capitalize into landed costs)
- Customs Duty accounts
- VAT Payable/Recoverable
- Foreign Exchange Gain/Loss
- Configure tax:
- VAT 5% (standard rate)
- VAT 0% (exports)
- Non-taxable (raw materials?)
- Set default payment method (bank transfer, check, credit)
2.7 User Access & Security
- Create user accounts (Finance, Warehouse, Sales, Management)
- Set access levels:
- Finance: Full accounting, purchase, supplier management
- Warehouse: Inventory, receipts, stock moves (NO purchase prices)
- Sales: Customer orders, pricing (NO supplier info)
- Manager: Dashboard, reports
- Enable 2FA for sensitive roles
SECTION 3: Core Workflows for Importers (Week 3-4)
3.1 Purchase Order Workflow
1. Create RFQ (Request for Quote) from supplier list 2. Supplier responds with quote (via email/Odoo) 3. Convert RFQ → Purchase Order 4. PO sent to supplier (Odoo auto-email) 5. Receive goods at warehouse 6. Receive customs clearance (document upload in Odoo) 7. Match Receipt → Invoice → Landed Costs 8. Pay supplier (bank transfer)
3.2 Landed Cost Workflow (KEY FOR IMPORTERS)
1. Receive purchase invoice from supplier (USD 10,000) 2. Add landed cost items: - Freight: USD 500 - Customs Duty: OMR 300 (calculated) - Insurance: USD 100 3. Total: USD 10,600 (≈ OMR 4,081 at 0.385) + OMR 300 duty ≈ OMR 4,381 4. Odoo splits the extra costs across the received units 5. Inventory values updated (cost per unit increases) 6. Cost recognized in COGS when goods sold
3.3 3-Way Match (CRITICAL CONTROL)
1. PO (quantity ordered) 2. Receipt (quantity received at warehouse) 3. Invoice (quantity billed by supplier) Match all 3 in Odoo. If mismatch: - Flag for investigation - Prevent payment until resolved - Reduce fraud risk
3.4 Multi-Currency Payment
1. Supplier invoice: USD 10,000 (exchange rate: 1 USD = 0.385 OMR) 2. Payment due: OMR 3,850 3. Odoo auto-calculates OMR amount 4. Record FX gain/loss on payment date 5. Bank import reconciliation (automatic)
3.5 VAT Compliance Workflow
1. All invoices (purchase, sales) tagged with VAT rate 2. Monthly VAT report auto-generated: - Input VAT (recoverable on purchases) - Output VAT (charged on sales) - VAT payable = Output - Input 3. Check the report figures, then file the return on the OTA portal 4. Lock the period after filing
SECTION 4: Data Migration Checklist (Week 4)
